Whether your attendees speak Spanish, use American Sign Language (ASL), or rely on live captions, our team has you covered. Because when someone registers for your event, they should be able to access every moment with confidence.

Tips for an Exceptionally Inclusive Event

Consider these tips to ensure an accessible and inclusive event:
  • Service Requests: Contact your coordinator at least two weeks prior to secure professionals familiar with your event’s theme and attendee languages.
  • Material Sharing: Forward all presentation items—like slides, videos, and speeches—to your coordinator as soon as available to ensure optimal preparation.
  • Event-Day Essentials: Keep printed materials ready for your accessibility providers, and ensure they have access to water, breakrooms, and restrooms.
  • Arrivals & Clearances: Accessibility teams will arrive 15-30 minutes prior to you event’s start time. Ensure parking and security clearances for hassle-free entry.
  • Clear Communication: Instruct presenters to enunciate clearly and use visual language. Avoid ambiguous phrases like “over there”.
  • Strategic Positioning: Ensure providers are well-placed for clear audio and visibility. Test tech setups—like spotlighting and projector functions—ahead of time.
  • Scheduled Rotation: Allow sign and spoken language interpreters to alternate every 15-30 minutes, preferably during natural breaks in the agenda.
  • Media Captions: For videos or audio, ensure captions are enabled. If unavailable, consult your coordinator.
  • Open Dialogue: Reach out to your coordinator with any questions or concerns. They are standing by to help ensure a seamless and inclusive event experience.
Following these guidelines will help to create an inclusive experience for all attendees!

Frequently Asked Questions

What is conference interpreting?
Conference interpreting is a professional service where trained interpreters provide real-time communication between speakers and attendees in different languages. It ensures everyone can fully understand and engage with your content as it’s happening.
Simultaneous interpreting happens in real time while the speaker is talking and is ideal for large or multilingual events. Consecutive interpreting happens when the speaker pauses to allow the interpreter to relay the message and is often used for smaller sessions or meetings.
Yes. ICS provides sign language interpreting (including ASL, International Sign, and 40+ sign languages) and spoken language interpreting across 200+ languages, depending on your audience and event needs.
Because sign language is visual, proper lighting, clear sightlines, and thoughtful interpreter placement are essential. We help plan seating, stage placement, and coordination in advance so attendees have full access.
Yes. We can provide or coordinate all necessary equipment, including headsets, receivers, transmitters, and interpreter consoles, and work directly with your AV team to ensure everything runs smoothly.
Live captions, also known as CART, provide real-time text of everything spoken during your event. They support Deaf and hard-of-hearing attendees and also benefit neurodiverse participants, non-native speakers, and anyone in noisy or complex environments.
Human captioners are significantly more accurate, especially with technical terms, names, accents, and fast-paced conversations. AI captions often miss critical details, which can impact understanding and accessibility.
Absolutely. ICS supports in-person, hybrid, and fully remote events, designing setups that ensure both onsite and virtual attendees receive the same high-quality access.
Yes. We translate written materials like schedules, signage, agendas, check-in instructions, and safety information so attendees can navigate your event confidently.
Onsite coordination means having an ICS accessibility expert managing interpreters, captioners, schedules, and attendee needs during your event. It’s especially helpful for large, multi-day, or complex conferences and takes stress off your team.

Inclusive Communication Services did an amazing job at Cannes Lions Festival for me and my team. They treated us with so much kindness and made sure we had full access to interpreters the whole time. It honestly felt like everything was normal. I got all the information I needed, didn’t feel left out, and could actually enjoy the event without stressing. The team and interpreters were fun, friendly, and just really awesome to work with. Big thanks to all of them
