- Early Scheduling: Contact your accessibility coordinator well in advance of your scheduled presentation, consultation, or event to secure the most qualified interpreters and translators.
- Detailed Requests: Provide comprehensive details about your tech or science event, including participant roles, expected duration, topics that may arise, and any relevant documents to allow for better preparation.
- Arrivals & Clearances: Accessibility teams will arrive 10-30 minutes prior to the scheduled start time. Ensure that parking and other necessary clearances are secured for hassle-free entry to your location.
- Provide Materials: Share documents or materials with your accessibility coordinator well in advance of your event to ensure interpreters have adequate time to prepare and allow time for any necessary translations to be completed.
- Video and Audio Media: Ensure that captions are turned on for any video or audio media, if available. Submit un-captioned media to your accessibility coordinator as soon as possible to allow time for captioning.
- Clear Communication: Encourage participants to speak clearly and one at a time. For questions and comments made out of sight of the Deaf, hard-of-hearing, or non-English speaking participant, be sure to repeat the statement and clarify the speaker if possible.
- Direct Engagement: Engage directly with Deaf, hard-of-hearing, or non-English speaking participants, looking at them rather than the interpreter or captioner during interactions.
- Confidentiality: Respect and trust the ICS accessibility provider’s strict code of conduct and commitment to confidentiality. Avoid asking them to disclose prior information, even after a research project or event has concluded.
- Accessibility Coordinator Contact: Reach out to your accessibility coordinator if you have questions or need assistance with preparations for your service request.
