Consider these tips to ensure accessible, inclusive government meetings and public events:

    • Early Scheduling: Contact your accessibility coordinator well in advance of your scheduled meeting, forum, or event to secure the most qualified interpreters and translators.
    • Arrivals & Clearances: Accessibility teams will arrive 10-30 minutes prior to the scheduled start time. Ensure that parking and other necessary clearances are secured for hassle-free entry to your venue.
    • Provide Materials: Share presentations, speeches, slideshows, or videos with your accessibility coordinator well in advance of your event to ensure interpreters are well-prepared and familiar with your content.
    • Enhance Visibility: Position interpreters close to primary speakers and ensure visibility of all participants. Avoid backlighting with windows or lamps for sign language interpreters. Utilize integrated video captions for any videos that are part of your presentation. If captions are unavailable, inform interpreters in advance and maintain their visibility in any dim lighting.
    • Frame Interpreters: Keep sign language interpreters in-frame during live streaming or recording of public addresses and press conferences to ensure that Deaf and hard-of-hearing viewers can fully access interpreted content and visualize expressions and signing.
    • Clear Communication: Encourage participants to speak clearly and one at a time. For questions and comments made out of sight of the Deaf, hard-of-hearing, or non-English speaking participant, be sure to repeat the statement and identify the speaker if possible. Allow pauses between speakers to allow for note taking, referencing materials, or shifting attention.
    • Direct Engagement: Engage directly with Deaf, hard-of-hearing, or non-English speaking participants, looking at them rather than the interpreter or captioner during interactions.
